Subscription terms.
In plain English, and describing what the software actually does.
1. Who these are between
These terms are between Knightly Sites (“we”) and the Knights of Columbus council or assembly that subscribes (“your unit”), as agreed to by the person who signs up on its behalf. That person warrants that he is authorised by his unit to subscribe on its behalf.
Knightly Sites is independent. It is not affiliated with, endorsed by, sponsored by, or licensed by the Knights of Columbus, the Supreme Council, or any state, local council or assembly. Nothing in these terms creates any relationship with the Order.
2. What we provide
A website and record-keeping system for your unit at a subdomain of knightlysites.com that you choose when you sign up, with the features described on our features page at the time you subscribe. We host it, run backups, and apply improvements as they are made.
We do not promise a specific uptime figure, because we are not going to publish a number we are not measuring and paying out against. We do promise to take an outage seriously and to tell you what happened.
3. Payment
- Prices are shown on the pricing page and are charged in US dollars.
- Payment is processed by Stripe. We never receive or store your card details; we hold only a customer reference, a subscription reference, and the current status.
- A new subscription starts with a 30-day free trial. Your card is taken when you sign up and first charged when the trial ends, unless an admin cancels before then — in which case nothing is charged.
- A monthly subscription renews monthly and an annual subscription renews annually, automatically, until cancelled.
- If a renewal payment fails, we mark the subscription past due and Stripe retries on its normal schedule. Once a unit has paid, we will not delete anything because a card expired.
- We may change prices. An existing subscription keeps its price for the remainder of the period already paid for, and we will tell you before the next renewal at a new one.
4. Cancelling
- An admin of your unit can cancel at any time from the unit's billing page.
- Cancelling stops the subscription at the end of the period already paid for. We do not refund a part period, and we do not bill again.
- After the subscription ends, your unit's site and records are retained for 3 months. Cancelling does not delete anything by itself.
- After that retention period the data may be deleted. If you want a copy, ask before it expires — see clause 6.
- A trial that is never paid for is different. If the trial ends without a payment — cancelled during the trial, or the first charge fails — the site goes offline that day. Its records are kept for 30 days so the unit can still subscribe and carry on exactly where it was, and we email the subscribing admin when it goes offline and again a week before deletion. After 30 days the unit's records and files are deleted and its address is released.
5. Your content is yours
Everything your unit puts into the site — its roster, photographs, documents, news, minutes and records — remains your unit's. You grant us only the permission needed to host, back up, display and process it in order to run the service for you. We do not sell it, we do not use it to train models, and we do not show it to other units.
6. Getting your data out
An admin of your unit can export its data at any time, without asking us: every record as CSV files, plus the original photographs, documents and minutes attachments, in one download. Two exports in any rolling twelve months are included at no charge, and each archive is available for seven days before it is deleted. Stored credentials are never included. During the 3-month retention period after cancelling, ask us and we will run one for you.
7. What you agree not to do
- Publish anything unlawful, or anything you do not have the right to publish — particularly photographs of people, and particularly photographs of children.
- Use another organisation's trademarks, including the Knights of Columbus emblem and marks, without whatever permission that use requires. Your unit is responsible for what it publishes on its own site.
- Attempt to reach another unit's data, or to break the access tiers.
- Resell the service or present it as your own product.
We may suspend a site that is being used for any of the above, and we will tell you why.
8. AI-assisted drafting
Some features draft text — minutes from a meeting recording, newsletters, activity narratives. A draft is a draft: a person in your unit reviews and publishes it, and your unit is responsible for what it publishes. Processing that involves member information is carried out on hardware we operate and is not sent to a third-party AI service.
9. Liability
We provide the service with reasonable care but without warranties beyond those the law does not allow us to exclude. Our total liability to your unit is limited to the amount it paid in the twelve months before the claim. We are not liable for indirect or consequential loss. Nothing here limits liability that cannot lawfully be limited.
10. Changes to these terms
We may update these terms. If a change materially reduces what you get or increases what you owe, we will tell subscribing admins before it takes effect, and cancelling is always available.
These terms are written in plain language by the people who run the platform, and describe its actual behaviour. They are not legal advice to you, and a council with a question about them should get its own.
